1. Scope and Roles
This Policy applies to personal information that GeoHouse collects or handles through the Platform. It does not replace privacy notices provided by the Brokerage, its licensed REALTORS®, real estate boards, app stores, identity providers, map providers, or other third-party services, each of which may have its own privacy practices.
By creating an account, clicking to accept Platform terms, or using the Platform, you consent to the collection, use, and disclosure of your personal information as described in this Policy. If you do not consent to the disclosures required for MLS® VOW access, including disclosures to the Brokerage and applicable real estate boards for audit and legal purposes, we cannot provide access to MLS® VOW Data.
2. Information We Collect
Depending on how you use the Platform, we may collect the following categories of personal information:
- Registration and profile information. Your name, email address, username, password-related credentials, phone number, street address if collected, and other information you choose to provide or that the Brokerage requires for MLS® VOW access.
- Authentication information. Sign-in records, confirmation status, password issuance or renewal records, device information, and information provided by third-party login providers if you choose to use them.
- Platform activity. Saved searches, saved listings, viewed listings, search history, listing interactions, messages or requests sent through the Platform, and audit records of your use of MLS® VOW Data.
- Device, log, and security information. IP address, browser or app version, device identifiers, operating system, referring URL, timestamps, crash or diagnostic data, and security events collected automatically when you use the Platform.
- Cookies and similar technologies. Session cookies, preference cookies, analytics tools, pixels, software development kits, or similar technologies used to authenticate users, remember preferences, measure usage, secure the Platform, and improve performance.
- Communications. Emails, support requests, feedback, inquiries, marketing preferences, and related records when you contact us or communicate through the Platform.
3. How We Use Information
We use personal information for the following purposes:
- to create, verify, authenticate, maintain, and secure your account;
- to provide access to MLS® VOW Data and other Platform features on behalf of the Brokerage;
- to send password issuance, renewal, confirmation, transactional, administrative, security, and service messages;
- to enable communications between you, the Brokerage, and licensed REALTORS® in connection with your real estate interests;
- to personalize saved searches, saved listings, alerts, and other Platform features;
- to generate aggregated, statistical, analytical, or valuation information where permitted by Board rules and applicable law;
- to monitor, audit, secure, troubleshoot, and improve the Platform, including detecting and preventing scraping, fraud, unauthorized access, and misuse;
- to comply with Board rules, MLS® VOW agreements, contracts, legal obligations, court orders, law enforcement requests, and dispute-resolution or enforcement needs;
- to send marketing or product communications where permitted, with opt-out choices described in this Policy.
4. Brokerage and Real Estate Board Disclosures
These disclosures may include your name, email address, username, street address if collected, phone number if collected, account status, confirmation records, Platform activity, audit logs, and other information reasonably required to verify compliance with Platform terms, Board rules, MLS® VOW agreements, or applicable law.
Sharing information for these purposes is a condition of providing MLS® VOW access. If you withdraw consent to these disclosures, we may be required to suspend or terminate your access to MLS® VOW Data.
5. Other Disclosures
We may also disclose personal information in the following circumstances:
- Service providers. To vendors that help us operate, secure, host, analyze, support, communicate, authenticate, or maintain the Platform, under obligations to protect personal information and use it only for authorized purposes.
- Legal and safety reasons. To comply with law, legal process, contracts, Board requirements, or requests from public authorities, or to protect the rights, property, safety, and security of GeoHouse, the Brokerage, Boards, users, or the public.
- Business transitions. In connection with a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, subject to appropriate protections for personal information.
- With consent. For other purposes that we disclose to you and to which you consent.
We do not sell your personal information.
6. Third-Party Login
If you choose to sign in using a third-party identity provider such as Google, Facebook, or Apple, we receive the information that you authorize that provider to share with us. This commonly includes your name, email address, profile image, account identifier, authentication token, and related login metadata. We do not receive your third-party password.
We use third-party login information to create, link, authenticate, secure, and maintain your GeoHouse account. We do not request access to contacts, posts, friends lists, calendars, or similar third-party account content unless we separately disclose that request and you authorize it through the provider.
8. Security
We use reasonable technical, administrative, and organizational safeguards appropriate to the sensitivity of the information we handle. These safeguards may include encryption in transit, access controls, logging, monitoring for unauthorized access or scraping, secure development practices, and contractual protections with service providers.
No system can be guaranteed to be perfectly secure. If we become aware of a security incident affecting personal information, we will take steps required by applicable law and relevant agreements, which may include notifying affected users, the Brokerage, Boards, regulators, or other authorities.
9. Retention and Deletion
For MLS® VOW compliance, we retain a record of your name, email address, street address if collected, and username during the validity of your password and for no less than 180 days after the expiry of your password validity, as required by Board rules.
We may retain other information for as long as reasonably necessary for the purposes described in this Policy, including account administration, service delivery, security, auditing, dispute resolution, legal compliance, backup recovery, and enforcement. When information is no longer required, we will delete, anonymize, or securely dispose of it, subject to legal, contractual, Board, audit, backup, and security obligations.
If the Brokerage's right to operate the MLS® VOW is suspended, expires, or terminates, GeoHouse and the Brokerage may be required to stop displaying MLS® VOW Data and delete or destroy MLS® VOW Data, confidential information, personal information, and related materials as required by Board rules and applicable agreements.
10. Your Rights and Choices
Subject to legal and contractual limits, you may request access to or correction of personal information we hold about you, withdraw consent to optional uses, request deletion of personal information, or ask questions about our privacy practices.
We may need to verify your identity before responding to a request. Withdrawal of consent or deletion requests may not affect information we must retain for Board audit, legal, security, backup, dispute-resolution, or compliance purposes. If withdrawal of consent prevents us from providing MLS® VOW access, we may close or restrict your account.
You may unsubscribe from marketing emails by using the unsubscribe link in those emails or by contacting us. You will continue to receive transactional, security, legal, and service messages where needed to operate the Platform or comply with obligations.

11. Children and Minors
The Platform is intended for people with legal capacity to use real estate search services and is not directed to children. If we learn that we have collected personal information from a child without appropriate consent, we will take reasonable steps to delete it or obtain required consent, subject to legal and compliance obligations.
12. BCREA Privacy Notice
In addition to this Policy, the British Columbia Real Estate Association publishes a brochure titled “Privacy Notice and Consent”, which describes how the Brokerage and its REALTORS® may collect, use, and disclose personal information in connection with real estate services. You acknowledge receipt and understanding of that brochure as a condition of registering for MLS® VOW access through the Platform.
13. International Data Transfers
GeoHouse and its service providers may store or process personal information in Canada, the United States, or other jurisdictions where we or our service providers operate. Information processed outside your province or country may be subject to lawful access requests by courts, law enforcement, regulators, or public authorities in those jurisdictions.
Where we use service providers, we take reasonable steps to require them to protect personal information in a manner consistent with this Policy and applicable privacy laws.
